Taylor’s Legal solicitors are a growing business based in Chigwell, specialising in conveyance and family law, they have established a large client base consisting of major organisations and individual clients.
In June 2009 ADS installed FILESTAR document management software enabling all documents to be scanned, indexed and filed on-site. They also used the scanning services of Advanced Technology to scan the backlog of files held in storage on site. These files were then exported into Taylor’s Legal’s in house FILESTAR system ready for retrieval.
It is anticipated that within the next year Taylor’s Legal will have a completely paperless archive. By embracing technology Taylor’s Legal can supply an excellent service to their customers with on line case tracking and now the ability to find documents at a touch of a button.
SVC Recruitment agency for Suffolk & Essex
SVC are a large recruitment agency with offices in Colchester, Chelmsford and Ipswich. Specialists in Permanent and Temporary placements in all types of industry as a business they are continuing to expand across the South East.
Amanda Simpson the managing director sought a solution to their ever increasing paper problems that was taking up valuable office space and causing problems with the time taken to retrieve files and responding to enquiries. After a detailed survey of the market place they chose ADS to provide a solution to the problem.
ADS supplied two Ricoh Multi Functional Devices in Colchester together with Filestar document management software. SVC now scan in all Time Sheets, CVs, Terms Of Business and Candidate Packs using the MFDs directly into the Filestar system by way of mail boxes connected to each individual workstation on the network. Once scanned into the system all documents are instantly available by using structured indexing and OCR technology that is built into the Filestar system. All scanned in documents produce an audit trail so the documents can be tracked ensuring data protection.
This system has since been duplicated in the Ipswich office and soon to be installed in the Chelmsford branch, in the future all offices will be linked enabling documents to be viewed from any branch at any time.
Cheesman & Partners Ltd
Cheesman and Partners are a large accountancy practice based in North London. They required a solution initially to scan in all of their audit files so they could store them electronically and reduce the storage space required within their office.
ADS supplied Filestar document management software and network scanners so all audit files can now be electronically accessed by anyone within the organisation. This has had a substantial effect on how the company now views their files and has proved to have saved lots of time and money.
Since this installation ADS have installed three black and white and one colour multi functional device, this has substantially reduced the cost of their in house printing. Cheesman and Partners have now begun the process of scanning in all of their tax files and will soon begin to scan in their correspondence files too. The partnership between the two companies was formed over 5 years ago and has proved to be extremely beneficial to both parties.
Waterside Farm Leisure Centre
Waterside Farm Leisure Centre are currently going through a £4 million refurbishment so they wanted to reduce the amount of paper they had to put into storage and then re store after their facilities have been refurbished.
Basildon Council contracted ADS to scan their back log of files in relation to Waterside Farm Leisure Centre in Canvey Island Essex, the files consisted of invoices, registration forms and incident reports that need to be kept for future records. These files were picked up from the client and transported to Advanced Document Solutions scanning bureau, the files were scanned, indexed and copied onto discs that were then given back to the client in electronic form. The original files were then securely destroyed by ADS for data protection purposes and a certificate of destruction was produced.
BeSure specialise in refurbishment, restoration, new builds and fit outs, planned and cyclical maintenance projects in both the public and private sector.
Historically Besure kept all of their files in paper form in filing cabinets which made searching for specific files time consuming and took up a lot of space in their offices, another concern they had was fire and water damage so they sourced a solution to this problem.
ADS installed Filestar document management software which allows files to be scanned, indexed and filed electronically. All these files are being scanned on site using the Fujitsu FI6130 scanner that was supplied with the software. BeSure have gone from being a paper based company to having their invoices, bank statements and credit cards receipts available at the click of a mouse thanks to the document management system supplied to them by ADS.
Millane Contracts Services Ltd are a multi-discipline roofing, building Maintenance Company based in Essex, they provide a reliable service to all sectors of the building community.
Millane were in the process of moving to their new offices and wanted to reduce the amount of paper files they were taking with them, all the files were stored in filing cabinets and were a risk of fire and water damaged.
As we did with BeSure ADS have installed Filestar software into Millanes office so they can scan their job sheets, tenders, quotes as well as their invoices, bank statements and credit cards receipts.
ADS have supplied Millane with a 60 page per minute Canon scanner which works alongside Filestars batch separation and automatic indexing capabilities so that all files are scanned, indexed and filed automatically with minimal manual intervention.
